Office Administrator
As an Office Administrator, you will be the first point of contact for Spaces & CO. You will provide administrative support across the organization, handle the flow of visitors/members throughout the day and ensure that all administrative responsibilities are completed accurately, with high quality and in a timely manner.
Responsibilities
- Open and/or close facility
- Service visitors by greeting, welcoming and assisting them with their needs
- Provide tours of the facilities and discusses booking logistics and Space options available
- Answer incoming phone calls while providing basic information when requested
- Assist members with questions, issues or requests
- Receive, sort and send out alerts for daily mail/packages
- Maintain security by following procedures and controlling access
- Perform any clerical duties such as filing, photocopying, faxing etc.
- Ensure office equipment and supplies are adequately available
- Ensure facility is presentable, organized and well stocked at all times
- Set-up rooms for events and meetings (this may involve moving furniture)
- Aid members in securing space(s) while effectively communicating all information to operational staff for proficient execution of each space rental
- Provide onsite assistance for space rentals
- Perform any other job-related duties as requested while onsite.
Requirements
- Proven work experience in similar roles
- Exceptional customer service skills
- Professional appearance
- Good communication skills both written and verbal
- Ability to be resourceful and proactive in dealing with issues that may arise
- Able to adapt to fast-changing situations
- Ability to organize, multitask, prioritize and work under pressure
- Familiar with Apple software (Keynote, Pages, Numbers)
- High school diploma
